Are you a great fit for this role?

You’re an extremely organized individual, and always motivated to help others. We are looking for a stellar Administrative Support individual to join us. In this position, you would be responsible for answering phones and directing calls to appropriate personnel, greeting visitors, maintaining the front office, as well as general administrative duties.

What you’ll be responsible for:

  • Answer and distribute phone calls to appropriate personnel, assist customer when needed.

  • Sort, open and distribute mail

  • Greet guests, direct them to appropriate waiting area, offer refreshments

  • Process shipping reports- receive shipping notifications from Vendors/Manufacturers and distribute information to customers and appropriate staff

  • Process Manufacturer’s invoices, attach to appropriate job folder and distribute to proper personnel

  • Process Customer invoicing labeled “Add Frt & Inv” , and for company’s CSLLC and CSWI

  • Process all Vendor bills, match to job folders and distribute to appropriate personnel

  • Match paid Vendor bills to checks, mail check with any remittances, file payment voucher

  • Process all paperwork associated with OfficeMax Planned Maintenance Program; invoicing, 30 day letter, letters to subcontractors, review and process all completed PM paperwork from subs and CSI.

  • Process daily banking deposits, call customers with payment discrepancies

  • File check remittance in job folders

  • Maintain Sales Lead spreadsheet

  • Maintain Return Log

  • Maintain job folders by creating labels and filing appropriately

  • Process paperwork for shipping packages

  • Secure travel arrangements for office personnel

  • Maintain office/kitchen supplies and order when necessary

  • Keep FAX and Office copier filled with paper, and change date on FAX stamp

  • Other duties, as assigned

You’d be a great candidate if you have:

  • High School Diploma or equivalent

  • Minimum 2-4 years of general office experience

  • A knack for organization, and a cheery “can-do” attitude!
